Three steps to an accountant-ready OSS summary
OSS compliance is mostly a data problem: many channels, many currencies, 27 sets of VAT rates. Vatlio automates the data work and leaves the filing where it belongs — with you and your accountant.
One ledger for every sale
Connect your channels
- Link your Shopify, Etsy, eBay or WooCommerce stores — or upload a CSV export from any other platform.
- Vatlio pulls the orders, merges all channels and deduplicates them into a single transaction ledger per period.
- Multi-store is built in: run several shops under one legal entity, or several clients on the Agency plan.
Conversion and validation, by the book
Review the numbers
- Non-EUR sales are converted with the official European Central Bank rate published on the last day of the reporting period — exactly what the OSS rules require.
- Every country/rate combination is validated against the EU's official TEDB (Taxes in Europe) database, so stale or wrong rates get flagged before they reach a return.
- Each transaction is classified by scheme: Union OSS, IOSS, domestic (below the threshold), or out of scope — nothing silently disappears.
The report your accountant actually files
Generate the summary
- One click produces the quarterly Union OSS (or monthly IOSS) country-by-country summary in the official Annex III structure.
- Export a German "Mein BOP" portal CSV for direct upload, or an accountant-ready CSV for everyone else.
- You or your accountant submit it through your national OSS portal — Vatlio never files on your behalf.
What you actually get
The country-by-country table
One row per member state of consumption and VAT rate type, following the official Annex III return structure: country, rate type, VAT rate, taxable amount in EUR and VAT due in EUR — with period totals your accountant can transcribe into the OSS portal line by line.
The export files
- "Mein BOP" CSV — formatted for direct upload to the German BZSt online portal, so German-registered sellers can import the whole return instead of retyping it.
- Accountant CSV — a clean, portal-agnostic summary plus the underlying transaction detail, for accountants filing through any member state's portal.
- IOSS monthly summary — the same country-by-country structure, produced monthly for imported consignments up to €150.
10-year record keeping
Article 63c of the VAT Implementing Regulation obliges OSS sellers to keep detailed transaction records for ten years and to make them available electronically on request. Vatlio stores every imported transaction — including the exchange rate and VAT rate used — in an audit-ready format, so a records request is an export, not a panic.
€10,000 threshold monitoring
Below €10,000 of combined intra-EU distance sales per calendar year you may charge home-country VAT; above it, the destination country's VAT applies and OSS becomes the sensible route. Vatlio tracks your running total across all channels and alerts you before you cross the line — so the switch is planned, not discovered.
Not tax advice. Vatlio prepares OSS/IOSS return summaries from your sales data. It does not file returns with any tax authority and does not provide tax advice — your accountant stays in control of the filing.
